Clients abroad can take part in every stage through video calls and 3D reviews. The tools help, but a clear routine matters more than the software.
We have worked with clients in several countries. The habits below are general, and your project may need a different mix.
1. Plan the calls
Agree a fixed weekly or biweekly call and send an agenda a day before. Put the time zone in the invitation so no one is surprised.
After each call we send a short written summary of the decisions made, so nothing relies on memory.
**Routine over tools**: A steady routine does more for a remote project than any software.
2. Review designs in 3D
A 3D model or walkthrough lets you move through the design from anywhere. We share it on screen and also send it for you to review in your own time.
Send comments in one list after the review, so we can respond clearly.
3. Share documents safely
Keep drawings, photos and approvals in one shared folder, with dated versions. Ask who has access and who can approve changes.
Avoid using chat threads as the only record of a decision.
4. Stay connected during construction
Dated photos and short videos from the site keep you informed between visits. Ask for them at set stages, before each payment.
If you can, name a trusted person who can visit the site on your behalf.
5. When time zones clash
Choose a time that works for both sides, even if it is early or late for one. Messages can fill the gap between calls, but urgent questions need a plan.
Agree how a question is flagged as urgent and how fast the answer should come.
